Privacy Policy — spitbraaiDB

spitbraaiDB is a private business database used by Spit-Braai King, Somerset West, South Africa. It is not a public consumer service. Our staff use it to manage functions, quotes, invoices and reminders.

What information it holds
- Client details entered by staff: names, company names, phone numbers, email addresses and addresses.
- Business records: functions, quotes, invoices, payments, notes and reminders linked to those clients.
- Staff user accounts: username, email address and mobile number used for staff alerts.
Why we use it
To prepare quotes, run functions, issue invoices and receipts, track payments, set reminders, and send a quote, invoice or message to a client by email or WhatsApp only when a staff member chooses to send it. Staff may also receive internal notifications about functions, quotes, payments and reminders.
WhatsApp and email
When WhatsApp is used, a staff member sends the message through WhatsApp (normally WhatsApp Web/App linked to our office number), and WhatsApp/Meta processes message data to deliver it. If the Meta WhatsApp Business Platform is used in future, Meta will process message data the same way. Email is sent through our email service provider. We do not sell personal information. We only share it with service providers needed to deliver messages or host the system, or if the law requires it.
Cookies
spitbraaiDB uses only a login session cookie so staff can stay signed in. There are no advertising or tracking cookies.
Storage and security
Data is stored on a secured server, with access limited to authorised staff accounts, password protection and two-factor authentication. Backups are kept for recovery.
Retention
Business records are kept for as long as needed for accounting, tax and business purposes, and removed or updated when no longer needed and the law allows it.
Your POPIA rights
You may ask to see, correct or delete your personal information, or object to its use, subject to legal record-keeping duties. Email info@spitbraaiking.co.za and we will respond.
Changes
We may update this policy. The current version will always be on this page, with its effective date.
